This policy explains what the Lone Star Team app (the website at lonestarteam.app and the iPhone and Android apps) collects, why, who can see it, and how to delete it. The app is run by Renzo Gracie Lone Star Team ("we"), which has gyms in Round Rock, Austin and Pflugerville, Texas.
We don't sell your information, and we don't show ads. The app itself has no tracking or advertising tools; the only exception is the free-class booking pages, and only if you say yes (see Ads and the free-class pages below).
What we collect, and why
Your account. Your name, email address, and optionally your phone number and a photo. Your home gym. We use these to sign you in (we email you a sign-in link or code instead of using a password) and so coaches and staff know who you are.
Your training. The classes you check in to or say you're coming to, your belt, stripes and promotions, the techniques you've seen in class, and the levels you give yourself. The app uses this to show your progress, suggest what to learn next, give awards, and help coaches plan. Belts and stripes come only from coaches, not from attendance.
Things you write. Journal entries (private unless you share them with coaches), questions and messages to coaches, notes and tips on videos, partner check-ins, and kudos.
Optional details. Your gender, which only you, your guardians, coaches and staff can see. It's used to open women-only classes and for attendance reports that never name anyone. Your date of birth, if you give it.
Health and safety. Injuries you report, time away, an emergency contact, and, if a coach asks for one, a skin-check photo. Only coaches and staff can see these. Skin-check photos are deleted after 30 days.
Photos. Photos you add to event albums, and tags. Nobody appears tagged until they approve it. A photo a child is tagged in is blurred for other members unless a parent allows photos of them, and photos in kids' albums stay blurred until someone tags who's in them.
Children. A parent or guardian can add their children to check them in and follow their progress. Children's names are never shown to other members. Children don't see match clips or adult features.
Signed waivers and forms. When you sign a waiver (for yourself or a child), we keep the version you signed, the name you typed, your drawn signature, the date and time, and the device and IP address you signed from, with a PDF copy that's emailed to you. Coaches and staff can see whether you've signed and can open the PDF.
Memberships and payments. If you pay for a membership in the app, we keep your plan, the people it covers (for example your children), its status (active, paused, cancelled), pauses and the dates you chose, a cancellation reason if you give one, and a record of each payment and refund: the amount, the date, whether it went through, and the payment company's reference numbers. You enter your card or bank details only on Stripe's own secure pages, so we never see or store your card or bank account numbers. Staff who handle billing at your gym can see your plan and payments and record changes; each change is logged with who made it. Coaches only see whether a membership is paused or overdue, never amounts.
Purchases. When you buy team gear, payment happens on Square's own checkout page. We never see or store your card. We keep the order (items, sizes, pickup gym, status); if you delete your account, it stays for the gym's books without your name. Square keeps its own record of the payment.
Text messages. If your gym sends texts, we keep your phone number, whether you've agreed to texts (and the wording you agreed to), and the messages sent and received. We use your mobile number and your agreement to texts only to text you about your bookings, your classes and the gym. Message frequency varies. Message and data rates may apply. We don't share or sell your mobile number or your agreement to texts with anyone for their marketing: no mobile information will be shared with third parties or affiliates for marketing or promotional purposes, and text opt-in data and consent are never shared with any third party. Twilio, our texting provider, handles the messages for us. Reply STOP to any text to stop, or HELP for help.
Technical details. When you sign in we record your device type and IP address with your session, to keep your account secure. On phones, if you allow notifications, we store a push-notification token for your device. If you add your membership card to Apple Wallet or Google Wallet, we keep a record of the card so we can update it.
Ads and the free-class pages. The team advertises on Facebook, Instagram and Google. On the free-class booking pages (lonestarteam.app/try/…), and only if you say yes when asked, we load Meta's pixel and Google's tag so the ads can tell which ones bring people in. If you say yes, or if you sign up through one of our Facebook or Instagram lead forms, we also tell Meta when you book a class, come to it and join, using your email address in scrambled (hashed) form, never your phone number, so the ads learn from people who actually train with us. Say no and none of this happens; nothing like it runs anywhere else in the app.
Who can see what
- Other members see only what you choose to show: your name, photo and belt in the team roster and class lists ("Show me to classmates", which you can turn off), and the shout-outs you allow. They never see your gender, health notes, private journal, messages, or your children's names.
- Coaches and staff see what they need to teach and keep you safe: attendance, belts, notes you share with them, health and safety details, and contact details.
- Service providers process data for us: our email service (Brevo) sends sign-in links and messages, Stripe handles membership payments (Stripe keeps your card or bank details and runs its own checks against fraud), Square handles team-gear payments, Twilio sends and receives text messages (your phone number and the message) when your gym uses texting, Apple and Google (through Expo) deliver phone notifications, Apple Wallet and Google Wallet hold the membership card if you add it (Google receives your name, gym, belt and membership status to make it), and YouTube plays the technique and match videos. When you play a video, YouTube's own privacy policy applies to that playback. Photos imported from the team's Instagram accounts are posts the team has already made public. Coaches can share YouTube videos with you in private folders, and you have a folder of your own; we keep the video links and titles, the videos themselves play from YouTube. Your own folder is seen only by you, your parents if you're under 18, and the coaches and staff. When staff add an Instagram post to a page in the app, it's shown with Instagram's own embed, so Instagram (Meta) loads it into the page and its privacy policy applies to that part.
- Tools the team connects. A team admin can connect other tools the team uses to run the gyms (for example a spreadsheet) through the app's API and webhooks. They work for the team, receive only the member and trial details the admin allows (like names, check-ins and memberships, never gender or health information), and may not use them for anything else. Nothing is sent until an admin sets one up.
We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes. No mobile information is shared with third parties or affiliates for marketing or promotional purposes.
How long we keep it
We keep your information while you have an account. Sign-ups that are never confirmed are deleted after 7 days. Skin-check photos are deleted after 30 days. Membership and payment records are kept for the gym's tax and accounting records.
When you delete your account, your personal content is deleted. Signed waivers, payment records and team-gear orders are kept, because the gym may need them later: the signed copy, with your name as you typed it, and payments and orders without your name attached in the app. Stripe keeps its own customer record (with your name and email) and payment history under its privacy policy; ask us if you want it removed there too. The team keeps anonymous totals, like how many people came to a class, without your name.
Your choices
- See and change your details in Your profile.
- Turn off "Show me to classmates", team celebrations, partner check-ins and notifications of each kind in Your profile.
- Delete your account at any time: in the app under Your profile → Delete my account, or on the web at lonestarteam.app/me/delete. If you're the only parent linked to a child, you'll be asked whether to delete the child's information too or add another parent first. If you're paying for a membership, cancel it first; once it has ended, you can delete your account.

Children's privacy
Children under 18 don't have their own accounts: a parent or guardian adds them and manages their information, and can remove it at any time. Online sign-up is for adults (18 and over).
Security
The app uses encrypted connections (HTTPS). Sign-in uses one-time email links or codes, not passwords. Sensitive settings, like payment, texting and Instagram credentials, are stored encrypted.
Changes
If we change this policy in a way that matters, we'll tell you in the app before it takes effect.
